Document
processing

Read incoming documents, check their contents and move the information into the systems your team uses.

We build the application, validation and review workflow around your documents. Your team decides what can proceed automatically and what needs approval.

An application for the
whole document process.

An incoming PDF may need to be opened, matched to a customer or order, checked against other records, copied into an application and forwarded for approval. If a page is missing or the figures do not agree, someone has to work back through emails and files before continuing.

We connect those steps. A scanned form might create a case; an application might update a customer record; an invoice might need to match an order. The software keeps the source, the checks and the next action together.

Review a sample invoice.

Choose a situation, then select a field to locate it on the source. Compare the related order and see how the review changes the outcome.

Checks and review

Needs review
  • Source retainedOriginal document available for inspection.
  • Order referencePO-419 found in the related records.
  • Amount check€184.50 above the purchase order.

A reviewer needs to resolve the difference in amount.

The amount was read correctly. It still differs from the purchase order. A business check holds the record for someone to decide what should happen next.

Build the workflow around
the work that follows.

Extraction is one part of the assignment. The surrounding software determines whether a document can be found, checked, reviewed and used.

Bring incoming documents into one queue.

Documents might arrive through an email inbox, a shared folder or a client portal. We connect the agreed channels, keep the original file and record where it came from. File checks, duplicate detection and a clear route for unreadable pages happen before anyone relies on the extracted information.

Keep the source with the record.Files, references and where they came from.

An email attachment, a scan and a portal submission can enter the same process.

Read the fields your process actually needs.

We define the information to capture with your team: a reference, a date, line items, an address or a clause. AI can interpret changing layouts and unstructured text; conventional parsing can handle stable formats. The result keeps its connection to the relevant page or passage so a reviewer can inspect it.

Located on the source

A proposed field stays linked to the place it came from.

Check it against the rules and records you trust.

Reading a value correctly does not make it acceptable to the business. We check required fields, totals, formats and related records. Your team decides which differences need approval, who can resolve them and which actions the software may take without intervention.

Hold for a review decision.

A correct amount can still conflict with an existing order.

Complete the next step and confirm it happened.

An approved result can update an application, create a case or prepare a report. We build around the destination system’s permissions and response. If it is unavailable, the record stays pending; retrying the connection must not create a second entry. Staff can see what completed and what still needs attention.

Keep the rules explicit.

Reading changing documents

AI can help interpret unfamiliar layouts, identify a field described in different ways or propose information from free text. We define the expected result and keep enough source evidence for someone to check the proposal.

Applying agreed controls

Required fields, arithmetic, duplicate checks, approval thresholds and permissions belong in the application. We use software rules for those decisions, with AI contributing within the access and actions you authorise.

Give reviewers the
evidence they need.

A useful review screen puts the proposed value beside the original document and the relevant business record. Staff should be able to see why the workflow stopped, make the permitted correction and record their decision.

Before implementation, we agree who can see each document, which services may process it, how long copies remain and which actions require approval. Those choices become part of the application’s permissions and review routes.

Our approach to AI and agents

Test a representative process
before expanding it.

Start with an agreed document family and a real destination. Include straightforward examples and the awkward cases your team already recognises.

What we assessWhat we examineThe decision it supports
Field qualityCompare proposed values with agreed answers. Check the important fields, tables and document variants separately.Which errors can the workflow detect, and which still need a reviewer?
Review effortCount the cases that need a person, the corrections they make and the time needed to resolve them.Does the process reduce work for the team that will operate it?
Exceptions and recoveryUse incomplete scans, conflicting records, duplicate submissions and an unavailable destination system. Can the team find and resolve the problem without losing the source or creating duplicates?
Operating costMeasure document volume, model usage, processing, storage and the remaining review work.Does the full workflow justify its running and support costs?

Release it with an operating handover.

The finished assignment includes the working intake and review application, the agreed system connection, documented checks and an acceptance record. We cover how to handle an exception, change access, monitor the workflow and obtain ongoing support.

Start with the documents
and the next step.

Tell us what arrives, where it comes from and what someone needs to do with it. We’ll identify a useful starting scope and agree how to review representative samples with you.

A first discussion is more useful when you can describe the document types, approximate volume, systems involved and the cases that take the most effort.
